Scheduling Services switches to user-friendly system

Campus Scheduling Services is aiming to ease the process of finding and requesting appropriate space for on-campus events by changing its current WebViewer system to a new 25Live system.

Kimm Thiboldeaux, internal events scheduling manager, said the new system will be finished by Oct. 15 and be much more user-friendly.

“25Live is actually the same system but a more user-friendly platform,” Thiboldeaux said. “I’ve been cleaning our data and settings to make the system a better tool for event requesting using common questions from the UST community.”

The new system will address some of the most common problems Campus Scheduling Services has received about the WebViewer system.

“We received many questions on what a room looked like, what technologies were in a room, etcetera; and though this was available in WebViewer, there were not photos, and it was not easy to navigate to,” Thiboldeaux said.

As well as previewing the space, users will now be able to request rooms based on technology or layout needs and view their requested room setup. They will also be able to save preferences to speed up the requesting process in the future.

Senior Ashley Stenstrom, vice president of PULSE, said she has had trouble with the old system.

“It was difficult for me to figure out the technology requests on the WebViewer because I didn’t know when I needed to request something or not,” Stenstrom said.

Thiboldeaux said these changes should help ensure cost-effective scheduling and greater use of campus locations.

“With better knowledge and searching of locations that meet event needs, we will remove the need for Facilities Services to make changes to a location’s default layout, as well as remove the need for additional time on each request, allowing locations to be used for more events,” Thiboldeaux said.

The new 25Live system is up and running and can be reached through links in the resources sections for internal event planners and student clubs on the Campus Scheduling website. Information on how to use 25Live is available on the site.

All links to WebViewer will start redirecting to 25Live on Oct. 15.

Thiboldeaux encouraged students to begin using the new system now. Campus Scheduling Services plans to host two open learning labs for anyone who has questions or wants help learning to navigate the system.
